Instruction for Oral Presenters

Submission of Presentations Onsite

Oral presenters must upload their PowerPoint slide presentations at the Speakers Ready Room, situated in Banquet Hall 1 on the 2nd floor of the Secretariat Building, at least 3 hours prior to their scheduled presentation.

Presentation Guidelines

Kindly note the presentation time allocation for the respective presentation categories as follow:

  • For PowerPoint presentations (or any other PC-based application), please bring them on a USB Memory stick and upload them in the Speakers Ready Room, located in Banquet Hall 1 on the 2nd floor of the Secretariat Building, at least 3 hours before your scheduled presentation.
  • Please ensure that when creating your PowerPoint slides, the font size is large enough to be visible from the rear of the meeting rooms. Additionally, remember to format your PowerPoint slide presentation in Landscape Format (Slide ratio: 16:9) and NOT Portrait.
  • The congress computer runs on the Windows system and is equipped with Microsoft Office 2013 (or later versions).
  • If you are including video films or embedding animations (GIF) in your slides, please test them in the meeting room where your lecture is scheduled during a coffee or lunch break before your session, at least 30 minutes prior to the start of the session – even after checking in the Speakers’ Ready Room.
  • If you have multimedia files “embedded” in your PowerPoint, make sure to save them on the same memory storage device as your presentation. If the media file is not included with the PowerPoint presentation file, the equipment will not be able to play the media file.


*Mac users:

You may use your own Macintosh laptop with an advance notice to the ASPIRE Secretariat. If this is the case, you will need to provide a VGA/HDMI adaptor on your own for external signal and advise the AV technician to run a test at least 30 minutes prior to your session.

In order to use MAC presentations on a PC compatible computer please note that you will need to follow the instructions below:

  • Use a common font, such as Arial, Times New Roman, Verdana etc. (special fonts might be changed to a default font on a PowerPoint based PC).
  • Insert pictures as JPG files (and not TIF, PNG or PICT – these images will not be visible on a PowerPoint based PC).
  • Use a common movie format, such as AVI, MPG and WMV. MOV files from QuickTime will not be visible on a PowerPoint based PC.
  • Keynote files will be required to be played back with a Mac computer. If using Keynote, please inform the Congress Secretariat in the Speakers’ Ready Room well in advance of your talk.


*Non-standard presentation formats:

For non-standard presentations means such as “Prezi” or web links, please present to the Speakers’ Preparation Room well in advance of your talk.

Getting Ready for Your Presentation Onsite

  • Please gather in your session room at least 10 minutes before the session starts.
  • Verify the date, time, room, and order of your presentation in the final program.
  • Sit near the front of the room for easy access to the stage.
  • Please keep your presentation to the time allocated to be fair to all speakers and to keep the programme running on time.
  • If any changes or corrections to your presentation details are needed, promptly inform the room manager stationed in the session room.
